Know who you are buying from
Vendor onboarding should capture legal name, address, contact details, tax registration and banking information as relevant to the transaction.
Check capability
Ask whether the vendor can supply the required quantity, specification and delivery schedule. For critical items, previous experience or sample approval may be useful.
Review commercial terms
Payment timing, transport responsibility, taxes, warranties, replacement terms and acceptance conditions should be clear before the order is placed.
Monitor performance
Delivery reliability, quality issues and responsiveness should be recorded so future procurement decisions are based on evidence.
Vendor qualification need not be complicated, but it should be consistent enough to reduce avoidable supply risk.
